This notice explains how we collect, use, share, and protect personal information provided through our forms, registrations, applications, communications, and participation in GGS programs, events, and activities. It also addresses information handled on our behalf by authorized staff, coaches, volunteers, contractors, and service providers.

 

Information we collect. Depending on the activity, we may collect names, contact information, dates of birth, parent or guardian details, emergency contacts, registration and payment records, participation information, and information submitted in applications or communications. Health, scholarship, or travel information may be requested when necessary for the specific program. Required fields will be identified on the applicable form.

 

How we use information. We use personal information to process registrations and applications; verify eligibility; administer programs, scholarships, fundraising activities, and giveaways; maintain records; coordinate participation and travel; process payments; support participant safety; respond to requests; and communicate about the activity you are participating in. For giveaways, this may include assigning entry numbers, contacting selected winners, verifying eligibility, and arranging prize delivery.

 

If required information is missing or inaccurate, we may be unable to process a submission, provide the requested service, or contact the appropriate person.

 

When information may be shared. We may share relevant information with authorized personnel and organizations involved in delivering or administering the applicable activity. These may include registration and payment providers, leagues and governing bodies, schools, facility operators, insurers, travel providers, event organizers, and prize providers.

 

Sharing is limited to information that is reasonably necessary for the recipient’s role. Service providers acting on GGS’s behalf are expected to protect the information and use it only for authorized purposes. We may also disclose information when required by law or when reasonably necessary to address an emergency, prevent fraud, or protect participants' legal rights.

 

A sponsorship or partnership does not automatically give an organization access to participant contact lists. We do not sell personal information or provide it to partners for their independent marketing without separate permission.

 

Children’s information. A parent or legal guardian should complete submissions involving a minor and provide appropriate adult contact information. We use children’s information for the relevant program or activity and obtain parental permission when required. Parents or guardians may contact GGS about their child’s information.

 

Communications and publicity. Providing contact information allows GGS to communicate with you regarding your registration, application, participation, or entry. Optional promotional communications are handled separately, and you may unsubscribe from promotional emails. Necessary administrative communications may continue while an activity or obligation remains active. Promotional text messages and the use of photographs or videos are subject to separate permissions where required. Acknowledging this notice does not grant a media release.

 

Protection and retention. We use reasonable administrative, technical, and physical safeguards to protect personal information. No storage or transmission method is completely secure. Information is retained only as long as reasonably necessary for the stated purposes and applicable legal, accounting, safety, or recordkeeping obligations, after which it is securely deleted or de-identified.

 

Questions and requests. You may contact GGS to request access to, correction of, or deletion of personal information, or to withdraw an optional consent. We may verify your identity and authority before responding. Requests are subject to applicable law and legitimate recordkeeping requirements.
